TERMS AND CONDITIONS FOR OVER-THE-PHONE INTERPRETATION (OPI) SERVICES

TU MEJOR VERSIÓN ONLINE

Requesting or using Over-the-Phone Interpretation (OPI) services constitutes full reading, understanding, and acceptance of the following terms:

1. Service Options

Over-the-Phone Interpretation services are available under two methods:

  • On-Demand: Required the interpreter at the time of the call.
  • Scheduled: Schedule in advance for a specific date and time.

2. On-Demand Service

On-demand interpretation carries no minimum duration or commitment. Charges are calculated per minute based on current rates, measured from the moment the interpreter joins the call until their participation ends.

  • Upfront Deposit: To unlock access to the system, the client must pay an upfront deposit covering between 15 minutes and 1 hour of service (depending on the case) at the agreed per-minute rate.
  • Once payment is confirmed, the access phone number and pin code will be issued and shared with the client.
  • Upon call completion, if usage exceeds the initial deposit, the remaining balance for the extra minutes will be charged according to the agreed rate.

3. Scheduled Service

Pre-scheduled calls carry a mandatory minimum charge equivalent to thirty (30) minutes of service, regardless of whether the actual call duration is shorter. Any time beyond the initial 30 minutes will be billed at the standard per-minute rate.

4. Service Time Calculation

For scheduled calls, billable time begins at the set appointment time, regardless of client or third-party delays. Billed time ends when either the client or the interpreter disconnects. The interpreter reserves that specific time slot exclusively for the client; therefore, external delays will not adjust the billing start time.

5. Grace Period and No-Show Policy

For scheduled assignments, interpreters will wait up to thirty (30) minutes after the set start time. If the connection is not established within this window, the session will be terminated as a late cancellation without prior notice, and the minimum service fee will apply.

6. Urgent Scheduled Bookings

Scheduled requests submitted with less than twenty-four (24) hours' notice are classified as urgent and carry a 25% surcharge on the standard rate, subject to interpreter availability.

7. Cancellations and Rescheduling

Cancellations or reschedule requests must be submitted at least twenty-four (24) hours in advance.

  • Cancellations made with less than 24 hours' notice will be billed the thirty (30) minute minimum service fee.
  • If a cancellation occurs before an interpreter has been formally assigned to the call, the minimum charge will be waived.

8. Technical and Line Requirements

The client is responsible for ensuring functional phone lines, adequate devices, stable network coverage, and suitable communication setups. TU MEJOR VERSIÓN ONLINE is not liable for dropped calls, signal issues, line noise, or technical failures attributable to the client or telecommunication providers. If an interpreter is ready and waiting but the call fails or drops due to client-side technical issues, billable time will continue to run.

9. Scope of the Interpreter’s Role

The interpreter’s sole function is to facilitate communication between the parties by conveying the content faithfully, completely, and impartially. The interpreter will not offer legal, medical, psychological, or other specialized advice, nor do they bear responsibility for any decisions, statements, or agreements made between the parties during the call.

10. Confidentiality

All matters discussed during the provision of the service will be held in strict confidence pursuant to applicable professional and legal obligations.

11. Invoicing and Payment Obligation

Utilizing the service implies a binding commitment to pay all accrued fees (per-minute usage, minimum fees, urgency surcharges, and late cancellation charges). Failure to settle balances gives TU MEJOR VERSIÓN ONLINE the right to suspend future service requests and pursue legal or collection remedies to recover unpaid amounts.

12. Acceptance of Terms

Requesting, scheduling, or using the OPI service serves as explicit confirmation that the client has read, understood, and accepted these Terms and Conditions in full.

TERMS AND CONDITIONS FOR VIDEO REMOTE INTERPRETING (VRI) SERVICES

TU MEJOR VERSIÓN ONLINE

Booking Video Remote Interpreting (VRI) services constitutes full reading, understanding, and acceptance of the following terms:

1. Service Modalities

Video Remote Interpreting services can be requested under two methods:

  • On-Demand: Subject to interpreter availability at the time of the request, with no minimum usage requirement. Billed strictly at the applicable per-minute rate.
  • Scheduled: Reserved in advance for a fixed date and time. This option carries a mandatory minimum booking of thirty (30) minutes.

Payment of the minimum charge for scheduled services confirms the booking and locks in interpreter availability for the agreed window.

2. Service Time Calculation

For scheduled sessions, billable time starts at the designated start time without exception, regardless of meeting start delays, late participants, login difficulties, or other non-interpreter issues. The interpreter will be logged in and waiting at the scheduled time and will remain available for the duration of the booked slot.

3. Connection and Video Platform Access

TU MEJOR VERSIÓN ONLINE will supply the client with the necessary video link to access the session. The client is solely responsible for securing a high-speed internet connection, compatible hardware, and all necessary software setups to join the call. TU MEJOR VERSIÓN ONLINE is not liable for delays, dropouts, or service failures resulting from hardware issues, software glitches, or internet instability on the client’s end. In all such cases, reserved time will continue to be billed as scheduled.

4. Service Extensions

For scheduled assignments, once the initial thirty (30) minute minimum threshold is reached, all additional time will be billed per minute at the established rate. The client agrees to settle any extra per-minute balance immediately following the conclusion of the session.

5. Short-Notice Urgent Bookings

Scheduled reservations requested with less than twenty-four (24) hours' notice are considered urgent and will incur a 25% surcharge on the standard rate, subject to interpreter availability.

6. Cancellations and Rescheduling

Scheduled sessions may be cancelled or rescheduled up to twenty-four (24) hours in advance at no cost. Cancellations or modifications requested with less than 24 hours' notice will incur the minimum thirty (30) minute booking fee to compensate for the professional time reserved.

7. Client Responsibilities

The client is responsible for:

  • Providing accurate date, time, and assignment details when booking.
  • Joining the video session via the provided link promptly at the scheduled start time.
  • Testing internet connections, cameras, microphones, and audio equipment prior to the call.
  • Giving timely notice of any schedule changes.
  • Promptly paying all per-minute overages, base charges, and short-notice fees.

8. Scope and Confidentiality

The interpreter acts solely as a neutral, faithful, and accurate linguistic facilitator. The interpreter will not provide legal, medical, or specialized advice and holds no liability for the outcomes or decisions made during the call. All information disclosed during the session remains strictly confidential.

9. Billing Default and Remedies

The client promises to pay for all services ordered and rendered. Any payment default or non-payment authorizes TU MEJOR VERSIÓN ONLINE to suspend future service access and initiate appropriate legal and collection actions to collect overdue balances.

10. Acceptance of Terms

Requesting, booking, or using VRI services confirms that the client has read, understood, and agreed to these Terms and Conditions in their entirety.

TERMS AND CONDITIONS FOR IN-PERSON INTERPRETATION SERVICES

TU MEJOR VERSIÓN ONLINE

Booking an in-person interpretation service constitutes full reading, understanding, and acceptance of the following terms:

1. Booking and Service Confirmation

To book an interpreter and guarantee human resource availability for the requested date and time, the client must pay an upfront deposit equal to two (2) hours of service. Upon completion of the service, any additional time worked beyond the initial two-hour deposit will be billed accordingly.

2. Minimum Billable Duration

In-person interpretation services carry a mandatory minimum booking and billing charge of two (2) hours, regardless of whether the assignment concludes early. Advance payment for these two hours is a strict prerequisite for booking and assigning the interpreter.

3. Service Time Calculation

Billable time begins at the scheduled start time agreed upon with the interpreter, without exception, regardless of when the hearing, consultation, meeting, proceeding, or event actually commences. Any delays, wait times, or hold-ups beyond the interpreter's control will be counted as billable working time.

4. Communication, Connectivity, and On-Site Arrival

The client is responsible for maintaining open communication channels to coordinate the meeting after being contacted by the interpreter. The interpreter will reach out to the client the day before the event, or on the same day if the assignment is not scheduled for first thing in the morning. The client must ensure a reliable internet connection (Wi-Fi or cellular data) to maintain seamless communication and must provide clear, precise meeting location details in advance to prevent delays. Communication failures, poor connectivity, or location issues on the client’s end will not adjust the established start time for billing purposes.

5. Overtime and Service Extensions

If the assignment exceeds the initial two (2) hours paid upfront, additional time will be billed at the rate previously quoted, rounded up to the nearest fifteen (15) minute interval (e.g., a total duration of 3 hours and 10 minutes will be billed as 3 hours and 15 minutes). The outstanding balance must be settled immediately upon completion of the service based on actual time worked.

6. Determination of Hours Worked

The assigned interpreter’s professional log will serve as the official record of time worked. The interpreter will record and report the exact start and end times of the assignment. TU MEJOR

VERSIÓN ONLINE will rely on this record to calculate the total duration of the service and determine any additional charges owed.

7. Urgent Bookings

Scheduled service bookings made on short notice will incur the following surcharges on top of the standard rate:

  • Urgent (less than 72 hours' notice): 25% surcharge.
  • Extra Urgent (less than 48 hours' notice): 35% surcharge.
  • Rush (less than 24 hours' notice): 50% surcharge.

All short-notice bookings remain subject to interpreter availability.

8. Cancellations and Rescheduling

All cancellations or rescheduling requests must be submitted at least twenty-four (24) hours in advance, without exception. Cancellations or modifications requested with less than 24 hours' notice entitle TU MEJOR VERSIÓN ONLINE to retain or collect the two (2) hour minimum fee, as that time block was specifically reserved for the client and the assigned professional was made unavailable for other work.

9. Travel and Out-of-Pocket Expenses

Where applicable, travel expenses, parking fees, tolls, and other necessary out-of-pocket costs required to deliver on-site services will be added to the final invoice under the conditions previously communicated.

10. Scope of the Interpreter’s Role

The interpreter’s sole function is to facilitate communication between the parties by conveying the content faithfully, completely, and impartially. The interpreter does not provide legal, medical, or any other professional advice outside their field, nor are they liable for any decisions, outcomes, or rulings resulting from the proceeding or event in which they participate.

11. Confidentiality

All information learned by the interpreter during the assignment will be kept strictly confidential in accordance with applicable professional codes of conduct.

12. Billing and Payment Commitment

Booking a service creates a binding financial obligation to pay all applicable charges (base hours, incremental overtime, surcharges, and travel expenses). In the event of non-payment or default, TU MEJOR VERSIÓN ONLINE reserves the right to withhold future services and initiate formal collection proceedings and/or legal action to recover all outstanding amounts.

13. Acceptance of Terms

Payment of the deposit or written confirmation of the booking confirms that the client has read, understood, and agreed to these terms in full.
